About this policy

The 100 Club of Northwest Arkansas, also known as The 100 Club or The 100 Club of NWA (“we,” “us,” or “our”), is an Arkansas nonprofit organization described in Section 501(c)(3) of the Internal Revenue Code. This Privacy Policy explains how we collect, use, disclose, and protect information through 100clubnwa.org (the “Website”), including registration, newsletter, contact, donation, and checkout activities.

Information we collect

Information you provide may include your first and last name; street address, city, state, and ZIP code; telephone number; email address; registration details; messages; donation and order details; and financial payment information provided during checkout. If you submit information for a business or donor listing, we also collect the business name and any logo you provide.

We collect this information through registration forms, newsletter signups, contact forms, and checkout pages. Payment information is processed as part of your transaction, including through the payment services used at checkout. The information available to us depends on the payment method and provider. Do not send payment card or bank account details through contact forms or ordinary email.

How we use information

We use information to fulfill orders, process donations and payments, administer registrations, provide receipts and acknowledgments, respond to inquiries, send newsletters you request, maintain accounting and compliance records, prevent misuse, and operate and improve the Website. We also use donor names, business names, and submitted logos for donor recognition as described below. We process information to carry out requested transactions, administer our charitable activities, comply with legal obligations, and honor permissions you provide.

Donor recognition and submitted logos

We may display personal donor names and business names on the Website donor list. Please use the Website contact form before donating if you want your name omitted, or contact us afterward to request removal from the Website list by email to donors@100ClubNWA.org. We do not publish your address, phone number, email address, or payment information as part of donor recognition.

By submitting a logo for donor recognition, you grant The 100 Club of Northwest Arkansas a nonexclusive, royalty-free license to reproduce, resize, and display that logo on 100clubnwa.org for that purpose. You represent that you own the logo or have authority to grant this permission. You retain ownership. You may request that we stop future display by email to donors@100ClubNWA.org. Removal from our Website does not remove copies previously saved by others, search engines, or lawful records we must retain.

Google Analytics and cookies

We use Google Analytics to understand general Website activity and improve the Website. It uses cookies and related technologies to collect usage information, such as pages viewed, interactions, referring pages, browser and device details, approximate location, and online identifiers. We use reports to understand activity in aggregate and do not intentionally send names, email addresses, payment details, or other directly identifying form information to Google Analytics. Analytics information is not necessarily anonymous under applicable privacy laws.

You can manage or delete cookies through your browser settings. Blocking cookies may affect Website features. Google also offers a browser opt-out add-on at https://tools.google.com/dlpage/gaoptout. Learn more at https://policies.google.com/technologies/partner-sites and https://policies.google.com/privacy. Where applicable law requires consent for analytics cookies, we obtain that consent before activating them.

When we disclose information

We disclose information as reasonably needed to service providers that support payment processing, Website hosting, registration, order fulfillment, communications, analytics, accounting, and related operations. Providers may also process information under their own policies and legal obligations. We may disclose information with your authorization, for the public donor recognition described above, to comply with law or legal process, or to protect rights, safety, and the security of the Website.

We do not sell or rent donor contact lists or personal information. Public recognition and sharing information with service providers are subject to the purposes described in this Policy.

Retention and security

We retain information for as long as reasonably needed for the purposes described in this Policy, including transaction administration, tax and accounting requirements, dispute resolution, and legal obligations. Retention varies by record type and legal requirements. We delete, deidentify, or securely dispose of information when it is no longer needed.

We use reasonable security procedures and practices appropriate to the information we maintain, consistent with the Arkansas Personal Information Protection Act, Ark. Code Ann. §§ 4-110-101 through 4-110-108. No website, transmission, or storage system can be guaranteed completely secure. If a security incident requires notice under Arkansas law or another applicable law, we will provide the legally required notices. The policy-update procedure below does not replace breach-notification obligations.

Your choices and requests

You may unsubscribe from newsletters through the unsubscribe option in the message or contact us by email to donors@100ClubNWA.org. Transactional messages, including receipts and responses to your requests, may still be sent. You may also email donors@100ClubNWA.org to request correction, access, deletion, or removal from the public donor list. We may verify your identity and retain records required by law or for legitimate transaction and recordkeeping purposes. We will handle requests as required by applicable law; this paragraph does not promise rights that every jurisdiction may not provide.

The Website is intended for people who are at least 18 years old. It is not directed to individuals under 18, and we do not knowingly collect personal information from them. If you are under 18, do not register, submit forms, donate, or provide personal information through the Website.
